Salary: £23,809.50 pro rata

Overview
Pompey in the Community is seeking a smart, enthusiastic, and approachable Reception / Admin Assistant to be the welcoming face of our organisation and provide essential administrative support across departments. The ideal candidate will be a team player with excellent communication skills and experience using Microsoft 365 applications, including Word and Excel.
Key Responsibilities
Reception Duties:
- Greet and welcome all visitors in a professional and friendly manner.
- Answer incoming calls and respond to face-to-face, phone, and email enquiries.
- Manage visitor sign-in procedures and maintain a tidy reception area.
Administrative Support:
- Assist the Head of Finance and CEO with day-to-day administrative tasks.
- Process bookings and manage queries through our internal booking system.

- Support the wider team with general admin, including printing, data entry, and document management.
- Support CEO with contracts and documentation
- Help maintain accurate records and registers for coaching and project staff.
- Liaise with staff to distribute participant information and respond to related queries.
Meetings & Events:
- Assist with the setup of meeting rooms, including organising refreshments.
- Provide support during meetings as needed and clear down afterwards.
Person Specification
Essential:
- Experience using Microsoft 365 (Word, Excel, Outlook).
- Confident communicator, both in person and in writing.
- Well-presented and professional appearance.
- Excellent organisational and time-management skills.
- Team-oriented, with a positive and proactive attitude.
Desirable:
- Experience working in a reception or customer-facing role.
- Understanding of community-based or sports-related organisations.
